THE KALENDAR HANDBOOK
A clear start.
A calmer calendar.
Everything you need to register, subscribe, plan and share.
1. Create and confirm your account
- Choose Create your account on the home page. Enter your name, email and a strong password.
- Open the confirmation email and follow its link. Check spam if it does not arrive. Use the same email address when accepting a shared-calendar invitation.
- Sign in through Digiter Account. Ordinary users stay in the calendar and account area; only site administrators enter WordPress administration.
- Open Digiter Account → Kalendar subscription to subscribe, redeem an access code or check your access end date.
Registration itself is free. A confirmed account without a subscription can explore a read-only workspace. Signing in does not automatically start a payment.
2. Understand your access
| Account | What you can do |
|---|---|
| Free / expired account | Read calendars you are authorised to see. New calendars, new tasks, editing your own calendar, appearance and invitations are locked. |
| Active annual subscriber | Create private calendars and tasks; edit, schedule and personalise them; invite up to five different people across your calendars. |
| Active free access code | The same calendar features and five-person allowance as a subscriber, without a payment, until the code expires or is revoked. |
| Invited editor | Read and update existing tasks, events and dates in the shared calendar while its owner has active access. Cannot create/delete tasks, create a personal calendar, change the owner’s settings or invite others through that invitation. |
| WordPress administrator | Manage site configuration, payments, reports and free access codes; unlimited invitations. Private calendar access still requires ownership or membership. |
A shared invitation and an access code are different. Invited editors may independently subscribe to create their own calendars. An owner’s expired subscription also makes the shared calendar read-only; it does not remove the saved tasks.
3. Build your plan
- With active owner access, select New calendar and give it a name. Use the calendar selector to move between calendars.
- Open settings to name projects and resources. Resources may be people, teams or rooms. Daily capacity helps the workload view identify overbooking.
- Choose New task. Enter a title, project, resource, start/end, status and estimate. Add notes, a checklist, progress, colour or dependencies as useful.
- Use a milestone for a single point in time. A normal task must have an end later than its start. A parent task groups scheduled subtasks; its overall dates and progress are calculated from the children.
- Save. Changes are stored on the server and shared with authorised members. If another person changed the same task, refresh and review before saving again.
Appearance and task colours
The calendar starts in Dark mode. Subscribers and active access-code owners can choose a different appearance in Appearance & language. In the task editor, Task color offers 48 classic, pastel, deep/neutral and neon shades. Use the colour picker or enter a six-digit HEX colour for any custom shade. The preview updates before you save. Select Color tasks by → Task colors to display each task’s own colour.
Right-click task actions
Right-click a task name or Gantt bar, use the ⋯ button beside a task, or focus it and press Shift+F10. The menu opens details, copies the task link/ID and locates it in Gantt. Editors can rename, change status, priority, assignee, dates, colour, dependencies or project. Owners can also duplicate tasks, create scheduled subtasks and request deletion. Duplicate and conversion actions open a draft for review; deletion requires confirmation. Parents with scheduled children must be reorganised before deletion or duplication. Use arrow keys to navigate and Escape to close. Shared links require sign-in and existing calendar access.
Weekend highlighting
In Appearance & language → Weekend shading, choose Soft shading (standard), Diagonal stripes, Dots, Vertical lines, Soft gradient or Outline. The preview shows the result before you apply it. Saturday and Sunday are marked through the full Gantt height and in calendar date cells; this visual setting does not change working hours or scheduled dates. The Highlight weekends checkbox turns marking on or off. Appearance choices are saved for this browser and available according to your subscription.
Choose the right view
Timeline shows duration, dependencies and the larger schedule. Calendar organises work by date. Board groups tasks by status. List helps review details. Workload compares scheduled estimates against resource capacity. Filters narrow the current project, resource or status.
Move and schedule work
Open a task to change its dates precisely, or drag it in supported views. Timeline end handles change duration. Dependencies are finish-to-start; a successor should begin after its predecessor finishes. Parent and dependency cycles are rejected. Changes to linked tasks may show a schedule preview before you confirm.
Calendar owners set working days, holidays and working hours in Schedule. Auto-rescheduling follows those rules. Workload estimates exclude completed tasks, milestones and parent summaries. Estimates are planning aids, not payroll or time-tracking records.
Baselines, appearance and exports
Owners can save up to ten baselines per calendar to compare a later schedule with an earlier plan. Appearance and saved views are stored in your browser; task data stays on the server. CSV export downloads the current supported task view. Store exported files securely because they may contain private calendar information.
4. Invite your people
- Open your calendar and select Members & invitations.
- Enter the person’s email address and send an invitation. The person receives a link valid for seven days.
- They sign in or register with that exact address, confirm their account and accept the invitation.
- They can edit existing tasks and dates. You retain ownership, creation, appearance and sharing controls.
- Remove a member or revoke a pending invitation in the same panel when access is no longer needed.
Your allowance covers five unique email addresses in total across your calendars. Pending, unexpired invitations reserve a place. Inviting the same person to another one of your calendars does not consume another place. To free a place, remove that person from all your calendars and revoke their remaining pending invitations. Administrators have no five-person limit.
5. Subscribe, cancel or redeem a code
Kalendar Annual costs CHF 49.90 per year. In Digiter Account, review the terms, request immediate service, then continue to PayPal. Check the merchant, price and annual renewal on PayPal before approving. PayPal bills the same annual plan until cancelled; your provider may apply currency-conversion costs separately.
After payment, return to your account. A verified successful payment automatically unlocks features; there is no visible license key to copy. Webhook delivery may take a little time. Use Refresh payment status if needed. The displayed access date is based on a confirmed annual payment, not merely on opening checkout or returning from PayPal.
To stop future charges, select Cancel automatic renewal in Digiter Account and confirm. You can also cancel the automatic payment with PayPal. Cancellation keeps access through the already paid period, unless a refund or reversal removes the associated payment. It does not delete your account or saved calendar.
To use a free code, enter it under Have an invitation code?. Copy the full code; hyphens and spaces are accepted. The account shows access until a date or until revocation. A code may have a maximum number of redemptions. Revoked or expired codes cannot be reactivated by entering them again.
No voluntary refunds are offered for unused periods, changes of mind or forgotten renewals. Mandatory withdrawal, defect and other consumer remedies remain available. See the full subscription terms.
6. Troubleshooting and support
- I paid but features are still locked.
- Check that you are signed into the account used to begin checkout. Refresh payment status, then reload the calendar. Contact [email protected] with your PayPal subscription/transaction reference; never send passwords or card details.
- My invitation does not work.
- Use the invited email. A link may be expired, revoked or already accepted. Ask the owner to resend it, or open your calendar selector if you already joined.
- I cannot create a task.
- Check the selected calendar and your role. Invited editors update existing tasks; creating tasks requires active owner access. Expired subscriptions and revoked codes return owner calendars to read-only mode.
- A change did not save.
- Keep the error message, refresh and reopen the task. Avoid editing the same task in multiple tabs. Concurrent changes are checked so newer work is not silently overwritten.
- I want my data or account removed.
- Contact [email protected] from your account email. We may verify identity and must preserve records required by law. Cancel your PayPal renewal separately before requesting account deletion.
